Because every itinerary is individually architected to meet the exacting standards of our European, British, and international clientele, our booking procedures reflect a high degree of precision, commitment, and mutual understanding.
This Booking Policy operates as the binding contractual preamble between you (the "Client" or "Traveler") and Royal India Voyages (the "Agency" or "Operator"). By formally initiating a reservation, remitting an initial deposit, or digitally authorizing an itinerary, you categorically accept the terms, paradigms, and operational logic detailed within this document. We strongly advise a thorough review of these parameters prior to monetary engagement.
2. The Reservation Lifecycle
The acquisition of a luxury Indian travel package follows a structured, consultative lifecycle designed to guarantee absolute satisfaction and logistical perfection before any financial commitments are realized.
2.1 The Consultation Phase
All journeys begin with an initial consultation—whether conducted via secure email, WhatsApp Business API, or a direct telephone conference. During this phase, our travel architects ascertain your temporal constraints, thematic preferences (e.g., heritage architecture, wildlife safaris, wellness retreats), and structural requirements. No binding obligations exist during this phase.
2.2 The Itinerary Blueprint
Following the consultation, Royal India Voyages dispatches a detailed "Itinerary Blueprint." This comprehensive document outlines proposed day-by-day activities, nominated heritage properties (like Taj Palaces or Oberoi Hotels), domestic aviation routing, and the assigned class of chauffeur-driven logistics. This blueprint is highly iterative; clients may request unlimited structural modifications until the document perfectly aligns with their vision.
2.3 The Final Quote and Authorization
Once the client verbally or digitally approves the final Itinerary Blueprint, our finance division generates a "Final Authoritative Quote." This quote is mathematically static and guaranteed for a period of seven (7) terrestrial days, shielding the client from short-term currency fluctuations between the Indian Rupee (INR) and the Euro (EUR) or British Pound (GBP). To transition this quote into a confirmed booking, the client must remit the stipulated Initial Deposit.
3. Deposit Structures and Payment Milestones
Securing elite inventory—such as boutique palace suites in Udaipur, limited-capacity tiger safari permits in Ranthambore, or private luxury houseboats in Kerala—requires immediate capital deployment to our vendor network. Consequently, our payment milestones are non-negotiable and strictly enforced.
- The Initial Deposit (25% - 30%): To formally bind the reservation and trigger the actual acquisition of hotel inventory and domestic flight tickets, an initial deposit representing 25% of the total holistic tour cost is legally required. During peak operational periods (October through March), or for exclusive festival tours (such as Pushkar Camel Fair or Diwali), this deposit parameter escalates to 30%.
- The Intermediate Paradigm (Optional): For itineraries booked more than 180 days in advance, a secondary intermediate payment of 25% may be invoked 90 days prior to the arrival epoch.
- The Final Remittance (Full Balance): The outstanding mathematical balance is unequivocally due no later than forty-five (45) days prior to the client's scheduled arrival at the Indian port of entry. Failure to clear the balance by this strict deadline constitutes an automatic, client-initiated cancellation, thereby invoking the forfeiture conditions defined in our associated Cancellation Policy.
4. Late Bookings and Immediate Finalization
In the luxury travel sector, "Late Bookings" are defined as any reservation initiated within forty-five (45) days of the projected arrival date. Due to the extreme urgency required to secure high-demand hotel occupancy and the immediate issuance of non-refundable domestic aviation tickets, Late Bookings circumvent the standard deposit structure.
For any Late Booking, 100% of the total tour cost is required immediately upon acceptance of the Final Quote. Inventory acquisition will not commence until the full capital tranche has successfully cleared our banking gateways. Clients executing Late Bookings should anticipate highly compressed communication windows.
5. Accepted Financial Instruments and Gateway Security
Royal India Voyages services an affluent, global clientele and therefore supports a wide, highly secure matrix of financial transfer mechanisms.
We process major international credit parameters—including Visa, MasterCard, and American Express—via heavily encrypted, PCI-DSS Level 1 compliant digital gateways. For clients preferring traditional banking vectors, we provide international SWIFT wire transfer details natively. Please be advised that while Royal India Voyages absorbs the standard processing metadata costs of primary gateways, any tertiary intermediary bank fees, foreign exchange surcharges levied by the client's issuing bank, or SWIFT transmission fees remain the exclusive financial responsibility of the client.
The final quote will clearly define the exact quantum required in the target currency, neutralizing ambiguity.
6. Pricing Integrity, Inclusions, and Surcharges
Transparency is central to our operational ethos. Unless explicitly codified within the "Inclusions" array of your Final Itinerary Document, the following vectors are categorically excluded from the holistic tour cost:
- International aviation ingress and egress to the Indian subcontinent.
- Visa procurement fees, vaccination costs, and comprehensive travel insurance premiums.
- Gratuities designated for chauffeurs, historian guides, and hospitality staff (unless specifically pre-paid).
- Camera or video drone equipment surcharges levied randomly by specific archaeological monuments.
- Incidentals at properties, including mini-bar consumption, telephonic routing, laundry capabilities, and spa interventions.
Government Taxation Surcharges: The Government of India enforces a dynamic Goods and Services Tax (GST) matrix. While our Final Quotes incorporate the prevailing GST, any sudden, macro-economic legislative alteration to the taxation rate prior to the final remittance will be mathematically appended to the client's closing invoice.
7. Client Identification and Passport Documentation
The Indian aviation sector and the hospitality network operate under strict federal security mandates. It is absolutely mandatory that all flight tickets, train reservations, and palace check-in registers perfectly mirror the exact alphabetical nomenclature of the client's passport.
Clients are obligated to provide hyper-accurate passport copies (or digitized data equivalents) at the precise moment of the Initial Deposit. Royal India Voyages accepts zero financial or logistical liability for boarding denials, hotel check-in failures, or ticket reissue surcharges resulting from the client supplying truncated, abbreviated, or legally inaccurate nomenclature (e.g., supplying "Tom" instead of "Thomas").
8. Special Travel Requests and Structural Accommodations
Any specific requests regarding dietary philosophy (e.g., strict veganism, Jain dietary laws, gluten intolerances), mobility limitations, or specific room geometries (e.g., interconnected adjoined suites for families) must be rigidly declared during the Consultation Phase.
While Royal India Voyages exerts immense diplomatic pressure on our vendor network to accommodate these requests, they remain subject to absolute geographic availability and the third-party property's compliance architecture. Distinct requests do not constitute a legally binding condition of the contract unless specifically guaranteed in writing by our senior management.
